Harmony Venture Labs (HVL) is a Birmingham, AL-based venture studio that builds and grows valuable companies that create a positive economic impact in the lives of our teams, partners, and communities. We are looking for a resourceful, detail-oriented, and proactive Executive Assistant to support our CEO.


As an Executive Assistant, you’ll be a key part of keeping the most important priorities of our venture studio on track, working in close partnership with our CEO and Chief of Staff to manage schedules, streamline operations, and facilitate effective communications. This is the ideal role for a go-getter who thrives in a fast-paced environment, takes initiative, and finds joy in the details that help the whole team succeed. 

Key Responsibilities

1. Proactively manage the CEO's calendar, coordinating scheduling, prioritizing commitments, and preparing for meetings with key documents and relevant context. 

2. Facilitate internal and external communications and relationship building, drafting thoughtful correspondence and ensuring timely follow-up across a range of stakeholders.

3. Coordinate travel, including booking flights, accommodations, and transportation, while anticipating and resolving potential issues.

4. Collaborate with the Chief of Staff and others to move top priorities forward and support the CEO’s effectiveness across all areas of work.

5. Tackle a wide range of special projects — from team events to operations support — adapting quickly and delivering results.

6. Assist with other administrative tasks, such as expense reporting and office mail, with precision and a positive attitude.

Minimum Requirements

1. Ability to work in-person from our Birmingham, AL office

2. Tech-savvy and comfortable learning new tools (experience with Google Workspace, Slack, and Zoom is expected)

3. Exceptional written and verbal communication skills, with the ability to interact confidently and professionally across a range of stakeholders

4. Highly organized and responsive, with a track record of managing multiple priorities without losing the details

5. Demonstrated discretion and professionalism when handling sensitive information

6. Bachelor’s degree or equivalent experience; experience in startups or fast-paced environments is a plus

2. Competitive base pay based on experience. 

3. Location: In-person in Birmingham, AL strongly preferred
